How to Conduct a Successful Remote Board Meeting

A remote board meeting can be conducted via video conference call in which board members don’t physically meet. This method of conducting business has become increasingly popular during the coronavirus outbreak and will probably continue to be used following the pandemic.

The key to having a successful and efficient remote board is having the proper tools. Board members should have access to all materials prior the meeting. This will make it easier for you to plan your agenda and help avoid confusion during the meeting. It is also helpful to have the meeting recorded, especially if there is a lengthy meeting or a topic that is a subject that has a lot of discussion.

Encourage board members to be aware of their surroundings while logging in to the meeting. Distractions such as a barking dog, loud street noise or even the tiniest murmur of TV in another room can distract you and make it hard to concentrate during the meeting. Board members should prefer to be able to sign into their offices through an unlocked, quiet door.

It is crucial to note the presence of each board member prior to the beginning of the meeting. This ensures that everyone is present and sets the tone of the meeting. After each item on the agenda, it’s important to solicit feedback. This encourages participation and engagement, even by members who are located elsewhere. The board may take action based on the feedback received at the end of the meeting, if it so wishes.
